How to Export Certificates to CSV (Bulk Download Guide)
If you run workshops, courses, or training desks, names already live in a spreadsheet. This walk-through turns that CSV into certificate PDFs on your device — no account, no roster upload.
Certificates produced this way are completion or participation records you design. They are not academic credentials, degrees, or regulated licenses unless your own organization and jurisdiction say otherwise.
Why CSV works for bulk certificates
CSV is simple, portable, and works in Excel, Google Sheets, LibreOffice, Numbers, and most LMS exports. One row equals one certificate. You can sort, filter, and dedupe before printing. You reuse the same plate for every cohort. You keep the source of truth in a file you own.
Tools that ask you to create an account, store your roster in the cloud, or charge per seat add friction. CertRoll is different: buy once, keep the file. No account. PDFs stay on your device. One payment of $10 unlocks unmarked files and a ZIP of up to 100 names.
What a certificate CSV should contain
Start with the fields CertRoll actually prints. Extra columns can stay in your sheet for records; the press ignores them.

Headers are case-insensitive. Certificate IDs, organization names, instructor lines, and hours can live in your master sheet — they do not map into this press.
Column naming tips
- Use stable headers. Prefer
nameover a display label that changes every export. - One person per row. Do not put two names in one cell.
- Avoid merged cells. CSV exporters usually break on merges.
- Keep dates as dates or ISO text. Mixed formats cause wrong sorting and wrong prints.
- Strip titles unless you want them printed. Decide whether “Dr.” belongs in
name. - Export UTF-8 so accents and non-Latin names survive.

How to export from common sources
Google Sheets
- Put headers in row 1 and data below.
- File → Download → Comma Separated Values (.csv).
- Open the file in a text editor once to confirm encoding and commas look right.
- If names contain commas, Sheets will quote those fields — that is normal and correct.
Excel
- Save a working copy as .xlsx for edits.
- File → Save As → CSV UTF-8 (Comma delimited).
- Avoid Macintosh or locale variants unless you know the generator expects them.
- Re-open the CSV only to verify. Edit in .xlsx when possible.
LMS or event platform
- Filter to the cohort you want — completed status only.
- Export CSV or Excel.
- Rename columns to
name,course, anddate. - Drop columns you will never print unless you need them for your own audit file.
Keep PII lean. For certificate PDFs you usually need a name and a title — not a full CRM dump.
Clean the CSV before bulk generation
Spend ten minutes cleaning. It saves hours of reprinting.
- Duplicates: same person enrolled twice? Keep one row.
- Blank names: delete or fix empty
namerows. - Trailing spaces: trim them.
- Line breaks inside cells: replace with spaces.
- Inconsistent course titles: normalize to one string per program.
In a spreadsheet, add helper columns temporarily — name length greater than zero, date parses — filter to failures, fix, then delete the helpers and re-export.
Turn the CSV into certificate PDFs
A CSV alone is not a certificate. You still need a layout. Mail merge works but gets fiddly at scale. Design tools plus paste are fine for five certificates, painful for fifty. A dedicated press maps the roster once and prints many PDFs.
Open the CertRoll studio. Pick a plate — completion, participation, workshop, training, achievement, or your own artwork after unlock. Fill the first recipient; empty CSV cells reuse those values. Drop the file on Name list. Preview one PDF free. The diagonal mark stays until you unlock. Then export a ZIP of unmarked certificates. Logo and custom artwork unlock with the same key.
- Prepare UTF-8 CSV with a
nameheader. - Choose a plate and adjust the studio fields.
- Drop the CSV. Preview a few rows, including a long name.
- Unlock once. Generate the PDF set and save it locally.
- Archive the CSV and PDF folder together for your records.
That archive is your operational memory: who received which certificate and when.
Layout and wording
Good completion certificates are clear and modest:
- State what was completed.
- Show the date and issuing organization on the plate you chose.
- Avoid language that implies accreditation you do not have.
- If you verify completions internally, keep that process on your side — do not imply a public registry unless you run one.
These PDFs are not academic credentials unless your institution and rules say they are.
Common mistakes
- Exporting the wrong filter — all registrants instead of completers.
- Using display names with emojis or nicknames. Decide a formal name policy first.
- Changing headers mid-cohort.
- Generating before QA. Always preview three rows, including long names.
- Losing the source CSV. Store CSV and PDFs together.
- Assuming the PDF is a legal license. It is a document you designed.
Privacy and storage
Names, courses, dates, logos, and CSV files stay in this browser. We do not store the roster. Keep CSVs where you already keep training records. Limit who can edit the master sheet. If you email PDFs, send individually when privacy matters; avoid attaching a full class zip to a shared thread.
